This is a full-time, Senior Staff position which reports to the CEO. The Director of Admission and Quality Assurance has primary responsibility to support program staff in ensuring services meet quality standards.
Qualifications
- A bachelor’s degree from an accredited college or university, preferably related to the human services field, and 2 years of experience working directly with people with disabilities.
- Must obtain certification in one of the following within three months of employment:
- A Certified Employment Support Professional (CESP) credential from the Association of People Supporting Employment First (APSE) OR:
- A Basic Employment Services Certificate of Achievement or a Professional Certificate of Achievement in Employment Services from an Association of Community Rehabilitation Educators (ACRE) organizational member that has ACRE-approved training.
- CI training to be Certified Investigator
- Must complete ODP approved training on Community Participation Support within thirty days of hire.
- Safe driving record and a valid Pennsylvania (PA) driver’s license. Must have reliable transportation to and from work.
- Must undergo and pass the required background checks and have no criminal history which would jeopardize participants.
- Strong written, verbal communication and leadership skills.

Responsibilities
Intakes
- Collaborate with families, Supports Coordinators, and high school Transition Coordinators to complete referrals to Lighthouse programs
- Conduct tours of Lighthouse for prospective participants, their families, and school teams.
- Maintain intake files and a waiting list for Lighthouse programs
- Create SETWorks profiles for participants being admitted to one of Lighthouse’s programs
- Collaborate and communicate with Transportation Coordinator, Program Coordinator(s), Director of Programs, Director of HR, and Finance Assistant as needed to ensure smooth admission process
- Submit initial unit request to the participant’s Supports Coordinator
SETWorks
- Serve as the primary administrator for SETWorks, communicating with the SETWorks support team as needed.
- Develop proficiency with Provider Build, Form Builder, Reports Library, and Utilities on the back end of the SETWorks system
- Provide initial SETWorks training overview to new hires
- Provide day-to-day support to staff and supervisors when questions arise
- Maintain active/inactive users within the system
- Stay updated on new features of SETWorks through monthly support webinars, newsletters and email updates.
- Explore ways to more efficiently utilize SETWorks across various departments
- Provide ongoing training to staff as needed, including new features that Lighthouse adopts
- Oversee fiscal year renewal of authorizations and goals within SETWorks. Provide refresher training to the Program Specialist team in May or early June.
- Run the Consumer Agency Production Report daily to provide an extra layer to audit/accountability. Provide feedback to DSPs or Employment Specialists if a production entry is missing or needs to be changed to accurately reflect the time worked
- Upload participant photos to SETWorks when taken by Marketing Associate. This happens for new participants and annually.
- Utilize SETWorks reports to provide data to Grant Writer and senior leadership as requested
- Complete spot checks in SETWorks as needed
Systems and Data
- Collaborate with Program Coordinators to maintain current Master Participant List on Teams.
- Work with senior leadership and Program Coordinators to assess efficiency and effectiveness of current systems, make changes as necessary, and develop new systems as needed.
- Oversee Production Tracking workbooks in Teams to ensure quality data is gathered per participant and per job completed in the Pre-Vocational and STEP programs
Quality Management
- Work with Director of Programs to implement and revise Quality Management plan on a quarterly basis
- Participate in quarterly Quality Assurance Committee meetings (7pm second Thursday of January, April, July, October)
- Assist Director of Programs with QA&I audit annually (July or August)
- Assist Director of Programs with 2380 and 2390 licensing prep. Participate in Entrance and Exit Interviews with ODP licensing reps. Assist with preparing Plan of Correction.
Other
- Fill in as needed in the front office for lunch breaks
- Collaborate with Newsletter Committee to design newsletters, contribute articles, and review/edit before printing.
- Stay current on updates from RCPA related to I/DD Committee and Government Affairs
- Maintain current knowledge of 2380, 2390, and 6100 regulations, including updated bulletins and announcements from ODP

- Attend professional development/team building training in person
- Work as a team player with colleagues to promote a positive and engaging work environment
- Complete annual required online training on Relias training platform
- Advocate for the rights of individuals with IDD in various settings, ensuring compliance with applicable laws and regulations.
- Participate in ongoing professional development and attend relevant training to stay current with best practices in the field.
- Support the mission and vision of Lighthouse Vocational Services
- Complete other tasks as assigned
